Net calls and activity hosting

A consistent process keeps activities organized, welcoming, and easy for members to follow.

Terminology: “Net call” is used because many members recognize the term. These are organized Poclink group activities, not transmissions conducted under the Amateur Radio Service.

Propose

Provide the title, topic, date, time, time zone, duration, intended audience, format, host, and backup host.

Review

An administrator confirms the activity fits the group, avoids conflicts, and follows the community guidelines.

Publish

Add the activity to the public calendar with clear instructions and Group 913452. Do not include private member information.

Announce

Announce the activity several days in advance and repeat the notice when appropriate.

Prepare

Check audio, confirm the backup host, review the participant order, and reduce unrelated conversation before the start.

Conduct

Open the activity, explain the topic, collect check-ins, manage discussion rounds, and allow late check-ins.

Close

Thank participants, announce the next activity, note participation, and capture suggestions for improvement.

Opening script

“Good evening, and welcome to the Ask The World scheduled group activity on Poclink Group 913452. My name is [name], and I will be tonight’s host. Our topic is [topic], and we expect the activity to last approximately [duration]. Please keep comments family-friendly and respectful. Wait until you are recognized before transmitting, keep comments reasonably brief, and pause between transmissions so others can participate. Is there any urgent or priority traffic before we begin?”

Check-in script

“We will begin with check-ins. Please provide your first name or preferred group name, your state, province, country, or general region, and a brief comment related to tonight’s topic. Exact locations are not needed.”

Closing script

“This concludes tonight’s Ask The World activity. Thank you to everyone who checked in and participated. Upcoming activities are available on the Ask The World website calendar. The group is now returned to normal open conversation.”
